Your information, handled with care.

This Privacy Policy describes how the volunteer sign-up site for American Heritage Girls Troop NC0800 (the “Site”) collects, uses, and protects information about the adult members of our troop families who use it. The Site is operated by and for the troop solely to coordinate volunteer scheduling. It is not a commercial service, and it displays no advertising.

The Site is intended only for residents of the United States, and access from outside the United States is technically restricted. We follow United States privacy norms. By using the Site, you confirm that you are accessing it from within the United States.

We collect only what we need to run volunteer sign-ups. For each authorized troop family we store the adult member’s name, email address, and (optionally) a phone number and a nickname, along with the volunteer roles they sign up for. We do not collect payment information, location data, or tracking/advertising data, and we do not use third-party analytics or advertising cookies.

The only cookies we set are the ones required to keep you signed in and to complete the sign-in process.

Protecting families, and especially children, drives the whole design:

• Children’s names are never shown on the Site, anywhere.
• On a role’s sign-up list, other signed-in members see only a nickname (or first name) and last initial, never a full name, email, or phone number.
• Full names, email addresses, and phone numbers are visible only to troop administrators, who need them to coordinate the troop.

We use your information only to operate volunteer sign-ups: to let you sign in, to email you a one-time sign-in code, to confirm the roles you sign up for or withdraw from, and to let administrators manage the schedule. We send security alerts to our own troop inbox when the Site detects unusual activity (for example, a sign-in form being used repeatedly). We do not use your information for marketing.

The Site is operated by and for adult volunteers. Children do not have accounts, do not sign in, and are not asked to provide any information. We do not knowingly collect personal information from children, and, as noted above, children’s names are never displayed. If you believe a child’s personal information has somehow reached the Site, contact us and we will remove it.

We do not sell, rent, or trade your information. We share it only with the service providers we rely on to run the Site, specifically the provider that hosts the Site and the provider that delivers our email, and only to the extent needed to perform those functions on our behalf. We may also disclose information if required by law.

We keep your information for as long as you are an active member of the troop family roster. When you leave the troop, or when you ask us to remove your information, an administrator deletes your account, which also removes your associated sign-ups.

You may ask us to show you what information we hold about you, correct it, or delete it. To do any of these, contact your Troop Coordinator. Because sign-in is by one-time email code, there is no password for you to manage.

All traffic to the Site is encrypted in transit (HTTPS). Access to names and contact details is limited to administrators, and the underlying database is not exposed to the public internet. No system is perfectly secure, but we take reasonable measures appropriate to the small, private nature of this Site.

If we change this policy, we will update the “Effective” date at the top of this page. Material changes will be communicated through the troop.
